How it works

What setting it up actually involves.

A code on the door, your fridges and checklists, and your team. Then it runs — and the records build themselves as people work.

Day one · Manager

Four things to set up.

All of it from your phone. There's no web dashboard to learn.

  1. Create your account

In the app, choose Manager and set up your takeaway: its name, your name, phone number and work email. A six-digit code sent to that email confirms it's yours. Your restaurant's dashboard opens once it is set up.
The Invisiko welcome screen with Manager selected, offering Create an account or Sign in.
  2. Print the venue code

Generate your QR code and print it. Stand at the venue to set its position from your phone, then choose the check-in radius. Regenerating the code makes printed copies stop working immediately.
Setting a check-in code in Invisiko: the venue's latitude and longitude, taken from the phone's location, and a radius of 100 metres.
  3. Add fridges and checklists

Register each fridge and freezer with its recommended maximum temperature. Write your opening and closing checks, and any daily, weekly or monthly lists, in your own words.
The Fridges & freezers list in Invisiko: four units, each with its recommended maximum temperature, and a button to add another.
  4. Invite the team with one code

Share an eight-character staff code. The whole team can use it until you regenerate it, and it expires after 14 days. A code for another manager works once only.
The Invite your team screen in Invisiko, with an invite code, buttons to share or copy it, and Generate new code.

Day one · Staff

Install, enter the code, scan at the door.

Nobody needs an account created for them by hand.

  1. Install the app

On their own iPhone, and choose “Join a team”.
The Invisiko welcome screen with Staff selected, offering Enter your invite code or Sign in.
  2. Enter the code

Then their name, email and a password. A six-digit code confirms their email, and they're signed in.
Entering an invite code in Invisiko: the code is accepted and the screen confirms the restaurant being joined.
  3. Scan at the door

The first scan asks for camera and location permission. From then on, checking in is one scan — matched to their shift where one is on the rota.
The Invisiko Scan screen: a camera frame with the instruction Scan to clock in or out.

The first week

The work you already do, recorded as you do it.

  1. The rota

Add the week's shifts. The estimated staff cost updates as you build it.
The Invisiko weekly rota: the estimated staff cost for the week at the top, then each day's shifts with names, jobs and times.
  2. Opening and closing

Staff record fridge temperatures and tick off checklist items — each with a name and a time.
The opening routine in Invisiko, with tiles for fridge and freezer temperatures and the opening checklist, both complete.
  3. Deliveries

Photograph a delivery note, check the lines it read, and confirm them into stock.
The Invisiko Food screen: take a photo, choose from the gallery or upload a PDF of a delivery invoice, above a stock item with a delivery recorded from an invoice scan.
  4. Swaps

Staff offer shifts to colleagues. You approve or decline from your phone.
The manager's Swap requests screen in Invisiko: a pending request with Approve and Decline buttons, and past decisions.
  5. Pay

Open a fortnightly pay period. Hours accumulate from check-ins until you close it.
The Invisiko Payroll screen: an open fortnightly pay period, a finished one ready to mark as paid, a paid one, and a monthly cost report.

What you need

Three things, and no web dashboard to learn.

  • An iPhone for each person

Invisiko is built for iOS. Android phones and iPad aren't supported.

  • A printed code at the door

One sheet of paper where staff arrive.

  • A connection

Invisiko needs the internet to check in, record a check or read an invoice. There is no offline mode today.
